Job Description
Office Manager/Bookkeeper
The Office Manager/Bookkeeper position will include maintaining detailed income and expense data using Appfolio management software and QuickBooks Online.
Use of Microsoft Office and other platforms is beneficial.
Maintaining orderly systems and processes between property manager, maintenance workers and other seasonal staff is a key part of this position as well.
Past experience handling/maintaining books for multiple companies is beneficial.

The following is a list of many of the activities included in this position:
* Maintain accurate financial records by recording daily transactions, including accounts payable and receivable, expense reports, and vendor invoices.
* Review and analyze tenant accounts to ensure accuracy and resolve any discrepancies
* Collaborate with internal teams to resolve billing issues and answer customer inquiries
* Maintain accurate records of all customer interactions and collection efforts
* Resolving any lease related inquiries
* Process security deposit returns to tenants
* Create and maintain accurate records of bank deposits
* Various data entry
* Prepare 1099’s
* Prepare payroll timesheets
* Create and track spreadsheets in Excel
* Maintain records of vendors insurance and W9’s
* Respond to phone, email, text and walk in traffic
* Promotes positive resident relations by ensuring resident concerns and requests are responded to on a timely basis to ensure resident satisfaction.
* Composing and distributing of correspondence/notices (rent collections, violation notices, reminders, community events, etc.
).
* Review and process rental applications
* Prepare leases, addendums and contracts
* Verifying leases are in order and have been posted properly in the system
* Complete rental reference forms
* Serve tenant notices
* Show units to prospective tenants when needed
* May participate in property walks/inspections (grounds, common areas, parking lots, community rooms, make-readies, quality control, etc.
) to ensure the community is well maintained
* Assists with various duties, including training, coaching and supervision of office staff
* Participate with annual apartment turnover
* Check office supply stock and place orders when needed
* Miscellaneous other duties as needed
* Contribute ideas on best practices and other systems and processes
* Generally promote the constant and never-ending improvement of the company
Requirements:
* Excellent communication skills, both written and verbal.
* Previous experience in a customer-facing or front office role is advantageous.
* Ability to manage time effectively, prioritize tasks, and meet deadlines.
* Strong organizational skills and knows how to prioritize workflow
* Proficient analytical skills, ability to investigate and problem solve
* Ability to work independently and with a team
